Chief Objective of Positions

Conference and Guest Services positions provide services for approximately 100 summer camps and conferences for over 15,000 guests each summer. Employees will work with guests and conference sponsors to ensure a positive experience at Virginia Tech. As an employee, you can be responsible for handling tasks such as check-in/check-out, conference management, preparation of linens and amenities, key control, dining and catering arrangements, and other tasks as required. The available positions are: Conference Aide, Desk Lead, Set-up Crew Lead, Desk Attendants, and Conference Set-up Crew. Core Responsibilities:
Summer Conference Implementation

Responsibilities include staffing check-ins, preparing rooms for guest arrival, monitoring and auditing keys, completing billing paperwork, managing dining and catering requests, ensuring office software programs contain up-to-date information, working with Hokie Passport Office as well as the dining managers, and other tasks as required. Employees also assist with Commencement Housing and New Student Orientation.

Customer Service
The summer employees are the first contact for all guests and conference sponsors on campus. Some staff members work with sponsors to ensure all guest needs are met. Staff members work with guests who have problems and concerns and remedy situations quickly. Staff members also try to ensure that all guests have an excellent experience while staying at Virginia Tech.

Position Descriptions


Conference Aide

Conference Aides provide services for the conference groups housed in Virginia Tech residence halls. They will be responsible for accommodating any conferences assigned to them, which includes but is not limited to serving as the on-site contact for conference sponsors; assigning rooms, keys, and linens; conducting check-in/check-out; maintaining accuracy of all records associated with each conference; and providing the necessary administrative and customer services to assure a quality living experience. Conference Aides work with other staff members to ensure that guests’ conference needs are met. Conference Aides are responsible for preparing room keys prior to check-in and completing both the linen and key audits at the conclusion of each conference. Each conference aide will serve on a rotating, on-call shift and will be required to stay on campus during this shift. Conference aides may not take summer classes. Employment will end after the conference season is complete in mid-August.

Student Desk Lead

The Desk Lead is responsible for all procedures involved in the 24-hour Hospitality Desk operation. The primary function of this area is to provide information and direction to all summer conference guests at Virginia Tech. Employees in these positions will assist in the training of all Desk Attendants. The Desk Lead is responsible for handling cash and credit card payments and processing daily deposits. Duties include scheduling staff hours for the hospitality desk, scheduling a weekly Desk Attendants meeting, and attending the weekly Conference and Guest Services staff meeting. The Desk Lead is responsible for providing the necessary administrative and customer service direction to ensure a quality living experience for all University guests. These employees work 20 to 40 hours per week. Employment will end after the conference season is complete in mid-August.

  • Strong and courteous interpersonal skills

  • Knowledge of proper cash handling and record keeping
  • Ability to balance an account book
  • Detail-oriented

Desk Attendant

Desk Attendants are responsible for assisting with all functions in the 24-hour Hospitality Desk by providing information and direction to all summer conferences at Virginia Tech. Desk Attendants process guest check-in/check-out reports for New Student Orientation and conferences, provide administrative assistance, and respond to guest questions and concerns. These staff members are responsible for staffing the 24-hour Hospitality Desk seven days a week, and will work between 20 and 40 hours per week. Employment will end after the conference season is complete in mid-August.

Successful applicants should have the following characteristics:

  • Willing to work in a fast-paced environment maintaining proper office practices and procedures
  • Strong and courteous interpersonal skills
  • Customer service-oriented
  • Ability to communicate effectively through phone, personal contact, and e-mail
  • Possess outstanding telephone and verbal communication skills

Conference Set-up Crew Lead

The Set-up Crew Lead is responsible for implementing room preparations for summer conference guests. This includes, but is not limited to leading the Set-up Crew, generating daily task lists for staff, and ensuring tasks are completed in a timely manner. The Set-up Crew Lead creates and implements a quality control system for room preparation and work schedules (including nights, weekends, and holidays) for staff members. The Set-up Crew Lead will be responsible for ensuring that the correct amount of linens are delivered, and returned on time. Employment will end after the conference season is complete in mid-August.

Successful applicants should have the following characteristics:

  • Ability to motivate staff to work independently with efficiency
  • Be detail-oriented and courteous
  • Ability to prioritize daily job expectations
  • Strong and courteous interpersonal skills
  • Communicate effectively through phone, personal contact, and e-mail

Conference Set-up Crew

Members of the Set-up Crew distribute amenities and informational materials and assist with check-in/check-out for all conferences. Set-up Crew members assist with facility arrangements, deliver supplies, and assist with room preparation. Crew members will ensure the correct amount of linens are delivered and returned on time. Set-up Crew members will work an average of 20 to 40 hours per week, weekends, evenings, and holidays as needed. Employment will end after the conference season is complete in mid-August.

Successful applicants should be able to:

  • Lift and move 50 pounds
  • Work with minimal supervision
  • Cooperative and collaborative
  • Present a valid driver’s license
  • Work as a team
